According to our international client, we are looking for a Senior Administrative Assistant (f/m) to provide administrative support to the Pension Team
Senior Assistant to the Pension Team
Main tasks:
Maintaining contacts with relevant internal (e.g. accounting division, staff members) and external parties (e.g. investment manager)
Ensuring interaction takes place with the Senior HR Assistants within own team and Senior/ Management Assistants across the organisation
Ensuring accurate information is prepared and circulated to the relevant parties in accordance with the timetables set (e.g. provision of monthly data to the Pension Committees)
Making daily and monthly input information (e.g. updating financial and member data for Retirement Plan) available
Entering data accurately and ensuring peer cross-checking is undertaken;
Checking input and output information for plausibility and accuracy
Identifying problems promptly and conveying suggested solutions to the appropriate persons
Answering enquiries regarding entitlements and payments from internal and external clients and Retirement Plan beneficiaries on day-to-day issues promptly
Maintaining own information/knowledge on the HR processes that s/he is involved in
Effectively co-ordinating relevant business processes within the team and with other internal and external parties (e.g. changes in part-time working can affect payroll and pensions)
Effectively co-ordinating the interfaces with other business support functions (e.g. Internal Finance, Internal Audit, Retirement Plan committees) and external service providers (e.g.Investment Managers, professional advisers for the Retirement Plan)
Your profile:
Formal commercial / vocational qualification in accounting, business studies or human resources would be an advantage
Substantial expertise and direct experience in providing support for HR processes is necessary
At least 7 years administrative experience with a minimum of 1 year experience in accounting/payroll/pensions preferably in large corporate organisations or an international environment
Excellent knowledge of MS Office, particularly MS Excel
Aptitude and an interest in numbers is essential
Advanced command of English and working knowledge of one other official community language
Very good understanding of the interaction of human resources with budget and other relevant business processes
